Pool Opening, Lobster Fest Dinner Dance and Facility Manager Contract

i)                    Our pool will be opening Friday June 26th as scheduled coinciding with the last day of school. Fraser Health is coming Monday June 22nd to inspect the facilities. We have ordered a new pool heater which will installed during the week of 22-26th. We still plan to open the pool on time on the 26th, if the new heater comes later in the week, the water still might be a bit cold. We will update the web site during the week to let you all know what is going on.

ii)                  Lobster Fest Dinner Dance is coming up on Sat, July 4, 6pm-12pm. Tickets must be purchased in advance. Please see Andrew Bennet at M6, Walter Rawlinson at the Sales Office or Rose Coburn at H4

iii)                 Facility Manager Contract is coming up for it’s yearly bid! The contract is for one year and starts Sept 1, 2009. Bids will be accepted up to Aug 7, 2009. Please see the tab on the left marked “Facility Manager Contract” for job description and bidding information.

9:30 – Members signed in and were issued new membership tags.

 

10:15 – Meeting called to order

 

·         Minutes of the last AGM meeting of October 2007 was read by Rose

 

MOTION to approve previous AGM 2007 minutes 1st, A43, 2nd A19 – minutes approved

 

·         Financial Statement for years 2007/2008 read by Jeanne Brit

 

Ø      An explanation was given to the membership about the decision to purchase our own propane tank allowing us to buy propane from any propane company at competitive prices in the future.

 

Budget for 2008/2009

 

Jeanne read the new budget proposal for 2008/2009.  Members were asked if they had any questions or comments about the new budget.

·         A27, Kathy asked about the outstanding dues owed.

·         Barry Huggins gave an explanation of the court ruling.

·         C5 asked about the security re. Pool and Hot Tub

Walter explained that we were taking steps to make sure that persons who are not members in good standing would not have access to the hot tub, pool and rec center.  The first step is to issue new tags to all members in good standing.

C32 asked about the possibility of using computerized “Card System”  Jeane explained that we did consider this but that we could not afford this type of system at this time. 

·         Concerns were raised about the ATV’s which were speeding through the SCCC property.

·         Mrs. Huggins spoke about the difficulties of controlling the ATV’s on SCCC property.

 

MOTION to accept the new budget for 2008/2009 made – 1st C35, 2nd Barry Huggins, motion carried.

 

The membership was asked to gather together with their village groups to vote for new board directors

New board directors were introduced to the membership.

 

VOTE: 

Members to vote on the following bylaw changes:

·         Minimum membership commitment is to be set at 1 year

·         Only members in good standing over 6 months are allowed valid voting privileges.

·         Only members in good standing may hold office and have valid voting rights at meeting.

 

Membership asked to vote by show of hands.  Motion approved unanimously.

 

Discussion about outstanding membership fees and what the board was prepared to do about it.  The board is planning to send all of the old outstanding debts to a collection agency.

Fran asked if we planned to give the members who have old outstanding debts a notice of intention in order to give them a chance to resolve their situation before a collection agency becomes involved.  The board gave their assurance that they would be sending out a notice and give them at least 2 weeks to respond before it goes to collection.

Barry Huggins asked if we know which collection agency we are going to use and if we are going to shop around for the best deal before choosing a collection agency.  The board reassured Barry that they would check out a few different agencies before making their decision.

 

Walter showed a slide of all of the improvements made to the club in the 2007/2008 term.  There were numerous improvements which included;

- New Teeter-Totter, Games Room Floor Painted, New Electric Heaters installed in Games room and change rooms, New Electric Plugs installed in Games Room, New Pool Cover and Roller, New Hot Tub Cover, New Lino in Kichen, New Chairs in Library, Change Room Floor re-done, New Patio out back, New Pool Pump and Sand Filter, New Propane Tank, Trees trimmed in playground, TV, DVD, VHS, Video Games in Games Room.

 

·         In the new 2008/2009 term the hot tub change room walls will require sanding and re-painted due to the paint bubbling.

·         The pool bathrooms need to be upgraded.

·         There is a possibility that the kiddie pool filter system may need to be replaced because it is 25 years old but for the time being it is in good working order.

·         Walter proposed that we turn the tennis court into an outdoor skating rink during the winter months.  He will look into this in the new term.

·         C5 mentioned that the tennis court floor needs to be repaired due to the sinking holes. 

·         C5 also mentioned that there are areas in the baseball diamond area that need to have holes filled in.  Walter will take care of this.

·         Discussion about bringing back the pulley-ride.  Walter explained that our insurance would not cover the pulley ride unless there were quite a few changes. 

·         Joanne requested that in our next newsletter that it was mentioned that according our bi-laws no-one is allowed to have outdoor fires.

·         It was mentioned that we post the adult pool night times.

LETTER FROM THE PRESIDENT

 

            As you may or may not know Andrew Bennett had to step down as president due to other commitments and I have stepped in the take his place.  It is not easy following in his footsteps as he has done a  bang up job of helping this club run smoothly and we miss him.  Thank you Andrew for all your hard work.

 

             The Ken McCoy dance was a great success and the club made approximately $3100.00 profit.  This money will be used to improve the playground and facilities. 

Thank you to all the people who came out and enjoyed the dance and supported the Club.  This support enables us to keep improving the facilities for the members’ benefit.

If you have any suggestions or can volunteer some times, please let one of the Board members know; we would like your input and are open to suggestions.  This is your club and its success depends on your participation. 

                

            We are planning our annual Halloween dance with prizes, music and the usual fun night - watch for posters.  Thanks to all the volunteers and members of the Board for making Sunshine Valley days successful and profitable.  Also, thank you to Don Low (winner of the ball drop) for donating his prize money back to the club.  Also, a special thanks to Shane Rawlston, SVDL and the fire department for helping to make the mud run a success. 

.                  

     Our caretakers have done a great job of keeping the playground and fields mowed and looking great.  Many people have commented on this and appreciate the hard work. We have had a busy year and next year is shaping up to be more of the same.  The board is working hard to plan events and improve the facilities.  Our new propane tank will save us money and make the heating of the pool and hot tub much more efficient and less costly.

 

            A warm welcome to all the new members -  we sincerely hope you enjoy the facilities and thank you for your support!

SUNSHINE VALLEY DAYS A GREAT SUCCESS!

Wow! What a great long weekend! It’s started off with Kid’s Races and fun for all on Sat led by Scott Clark and his team of volunteers. Thanks Brian Nokleby for playing Hot Dog Chief.

 

Sunday continued with the Mud Bog Races organized and sponsored by Shayne Ralston of Stoney River Ventures, SVDL and his team of volunteers. Special thanks to Rose and John Coburn for their excellent hot dog grilling. Sunday night ended with 4 hours of Ken McCoy attended by over 500 members and guests! Thanks again to Peter and Fran Adamo for helping get the band here (through 2 flat tires) and making them feel welcome. Thanks to SVDL for donating the stage and thanks to Shayne Ralston for leading the team to set it up and tear it down.

 

Monday rounded out the weekend with the ball drop lead by Judy Bos. Judy sold $1295 of balls for a winning prize of $647.50. The winning ball was…….P107 – Don Low. Don promptly donated his winnings back to the club. Thanks Don! After paying all expenses, the club made almost $2000 which goes straight into improvements for the Rec Center (we just got a new filter and pump for the pool to help keep it open). MEETING MINUTES

Ø      Meeting called to order:  3:00 PM @ Andrew Bennett’s house (because the library was already booked)

 

Discussion about the letter from Andrew Kleaman to Walter and Charlotte.  As well as the ultimatum given to the board from Charlotte because of the response letter from Andrew Kleaman.  The response email from Andrew was in response to an incident report that she sent to the board about an incident that happened to them while they were in the process of digging by hand for the propane lines in order to install the propane tank that they were asked to arrange for the SCCC.  The incident involved Dave from SVDL.  Dave has since apologized for his conduct towards Walter and Charlotte.

 

Andrew Bennett had a phone discussion with Andrew Kleaman where he informed Andrew Bennett that he had no intentions of making an apology or taking any steps towards resolving this issue.

After a long discussion about the letter that Andrew Kleaman sent to Charlotte and Walter where he made unfounded accusations and was generally unsupportive and offensive we voted on whether we should take steps to have him removed as a director.

 

We voted unanimously to start the proceedings to have Andrew Kleaman removed as a director.  We will start the steps after the June 29, 2008 meeting.

 

·         We agreed that the voting at the June 29, 2008 Special Meeting should be done by secret ballot.  Rose was going to make sure that the secret ballot forms were available for the meeting.

·         We discussed the lobster dinner and did a count and made some plans.

  1. Meeting called to order: 10:00 AM
  2. Charlotte discussed the problems she is experiencing with the pool and hot tub. The problem with the heating shutting off intermittently was getting worse.
  3. Riding lawn mower needs to be fixed – Charlotte is waiting for parts to get this fixed.
  4. Minutes of the May 31 meeting was read and approved.
  5. Jeane went over the accounts receivable and payables
  6. We decided to include in the newsletter that the cut off date for the bids for the facility manager position will be June 30, 2008.
  7. The Battle of the Villages was moved to August 1 long weekend because Andy would be working on June 28 and would not be able to organize it.
  8. John Coburn has agreed to take down the pole in the playground which is posing a danger due to the fact that it is rotting.
  9. The Homecoming committee has requested that we post their web address on our web site for the homecoming event and that they will post our web address on their web site.

Hot Tub and Pool Drainage

  1. We will re-route the drainage to drain on our own property away from SVDL property as per SVDL’s request.

Collection of Fire Dues

  1. It was decided that we would send them a letter to request that they pay us $300.00 per year to help cover the costs of collection and re-imbursement to the Fire Department.

Ken McCoy and Lobster Fest

  1. Tickets will be $10 for members and $15 for guests.
  2. We will have to build a stage for the band – we will address at the next meeting
  3. For the Lobster Dinner and dance – we need as many volunteers as possible and 3-4 barbecues, 4-5 boilers for the barbecue and ovens for the potatoes.

Kevin came to our meeting to discuss his proposal. We asked for clarification on exactly when he was proposing. The proposal was to install the skateboard equipment upstairs and run it and if we voted to do this, he would include the installation of the sports box. We would share the profits and once we have re-imbursed Kevin for his costs (out of the profits from the skateboard park); all future profits would then come to the SCCC. The value according to Kevin for all of this is $140,000 +. If this skateboard park business venture fails, Kevin would not seek re-imbursement from us for the costs. What¡¦s in it for him? First, he wants a skateboard park for his son and himself and the community. Secondly this would be a great draw for potential buyers of his as yet undeveloped land that he is in the process of developing.

PROPANE

  1. „« Booker gave a report that the people from Burden Propane had been up to the valley and tested the pressure on the SCCC side of the meter and advised that there was not enough propane pressure to keep our pool, hot tub and hot water heater going at the same time and the problem was on the SVDL side. Booker asked the board if we all agreed that the best thing to do is to ask SVDL to fix the problem and match the cost of propane from Burden - everyone agreed However, if they couldn¡¦t or wouldn¡¦t do either of these things right away we would change companies as we didn¡¦t want the pool or hot tub to be out of operation for the weekend. Booker asked for the authority to deal with this matter and all were in favor. Todd said he would talk to Kevin when he came for the meeting later that day.

JUNE 2008

 

 Summer is here and we are looking forward to nice weather in the coming months. There was great weather on the May long weekend when the pool opened. Many members attended the pool party and thank you to all the volunteers who helped make this day a successful one. The pool is currently opened everyday with the exception of Wednesdays due to maintenance.

 

  In addition to the pool party, the Wine and Cheese and the Chili Making contests were also a great success. Congratulations goes out to Ivar Frederiksen who won the “Best Wine in the Valley” and also to Mark Wilson for making the “Best Chili in the Valley”. Thank you to all the members and volunteers who participated in the event. This will be an annual event whereby the winners names will be seen on the plaques will be displayed in the Recreation Center. Also, the coffee socials on Saturdays continue to run between 1:00 and 3:00.

 

 The Steak and Lobster dinner and dance is the next event that will be held on June 28th. If you did not purchase a ticket for the Steak and Lobster dinner and dance you are welcome to attend the dance. Following this event there will be a Special General Meeting on June 29th at 10:30 a.m. in the Recreation Center.

 

 The purpose of this meeting is to listen and vote on a proposal presented by Mr. Kevin Harris of SVDL. Mr. Harris is proposing to install an Indoor Skateboard Park upstairs in the Recreation Center. If approved, he is willing to provide financing to complete an Outdoor Sports Box using the boards that have been donated by the FVRD with thanks to Mr. Arne Zabell. The revenue generated from the skateboard park would be used to pay Mr. Harris the upfront costs of the installation of the skateboard park and of the outdoor sports box.

 

 As members of the community and the SCCC your input regarding this proposal is necessary in order to provide direction for the SCCC Board of Directors. If you are unable to attend the meeting you can complete your proxy that was sent to you with the notice of the Special General Meeting. You may appoint your proxy or send it to the executive SCCC at the address stated on the proxy.

 

 Finally, the August long weekend will be full of many action packed events as B.C. celebrates 150 years. Many community members in the Valley have been working hard on the Sunshine Valley Home Coming events. There is a link on the SCCC website for more information regarding this event. Once again, we look forward to having members and guests attend the Sunshine Valley Days featuring the Ken McCoy band on August 3rd. As in the past, we expect this event to be one of the highlights of the summer along with the events of the Home Coming. The SCCC will also be having a Pot Luck dinner on Saturday, August 2nd.

Please note:  All the funds raised from all events will go towards improvements of the SV Rec Centre (playground, sound system, sports box, etc.)

 

 

PROPANE TANK

 

Ø      Due to pressure problems causing the pool and hot tub to constantly shut off and to get a better rate we are switching propane suppliers and getting our own tank.  We will recover the cost of a new tank in the first year.

 

IMPROVEMENTS & NOTABLE MENTIONS

Ø      We have replaced the rollers for the pool cover

Ø      We have purchased 2 Pop Up Canopies for outdoor events

Ø      The pool and hot tub were opened on the May long weekend for the first time in many years and has been opened every weekend since.

We are bringing back the Saturday afternoon “Refreshments and Bake Sale Social” in the library beginning Saturday May 31, 2008 from 1:00 to 3:00.  We will also have “Treats” for the children and adults who are still just kids at heart.

 

There will be board games, card games and puzzles for adults and children to enjoy.  Anyone who would like to donate board games to the SCCC please bring them to the library.  If you would like to volunteer baking goods and/or time for this weekly social function please contact June Bennett @ 604-946-8526 or Rose Coburn @ 604-702-8503.

A Message from the SCCC President: Andrew Bennett

 

 The winter has been long and we are looking forward to the Spring and Summer months ahead. The SCCC board is looking forward to seeing our members participate in the many recreational activities planned for the coming months as outlined in the newsletter. So far, the functions planned have been well attended and organized well.

 

At this time the SCCC board would like to thank many members in the community who have come forward to support or volunteer their time with the Pancake Breakfast, dances, Easter Egg Hunt, opening the library, and making repairs to the facility. For the upcoming events to be successful we are asking for volunteers for many of the upcoming events. Your support and participation would be greatly appreciated.

 

 Besides planning social events, in the past six months your board of directors has been working diligently on your behalf with respect to the following items: reviewing and organizing files; focusing on dealing with the issue of the share structure; and outlining a plan to deal with the issue of past recreational dues. Our recreational dues are being collected by the accounting firm-Meyers Norris Penny. They are also currently doing our accounting on a monthly basis.

 

 In addition, Charlotte, our facility manager has done a terrific job managing the facility. For example, the library and the floor in the games room has been painted as well as, the floor in the hot tub area been re-coated. We would also like to thank her for going above and beyond her regular duties. She has helped decorate and organized many of the dances and the movie night.

 

 On behalf of the SCCC board, we would like to thank the members for your continued support by participating and supporting our recreational and social activities in Sunshine Valley. We look forward to seeing you at our upcoming events and weekly coffee and treat days.

Annual Hot Tub Closure

Valentines Country Rock and Roll Dance

Our next SCCC event is a Valentines Country Rock and Roll Dance on Saturday February 16th, 2008 at 8:00pm at the Rec Center. Professional DJ Aaron Harris will be spinning the tunes all night with a Country and Rock and Roll Theme. There is cup cake decorating for the kids in the library, a 50/50 draw and door prizes. The cost is $3.00 per person for this event – tickets at the door - and it is open to all residents of the valley and their guests! (This function was originally free but was advertised as a public event in Hope and we now must monitor the door to ensure only Valley residents and their guests enter.)  All monies raised at this event will go toward improving the sound equipment in the auditorium and hooking up the fitness equipment. The games room will be open again during the dance to add another fun area. We have seating for the first 120 people and hope to see you there. There is going to be great chilli and buns provided and some light snacks.

 

Thank you to everyone who came to our New Years Dance. It was a great success! We sold 161 tickets which is our largest turnout ever.

  1. Approved minutes of previous meeting
  2. Rose advised the board that Patrick Noel will not be returning as a member of the SCCC board of directors -he has resigned.
  3. Iona gave the board an update on the finances of SCCC and the status of  the Meyers Norris Penny Contract as well as passed along information regarding duties of the Treasurer to the new board of directors
  4. Iona Hughes and Peter Adamo no longer be signing officers for SCCC.
  5. Iona advised that the next billing will go out on Dec. 15.  If we want to send out a newsletter with the billing we need to get this into the accountants hands before that date
  6. $475.00 given to Iona to deposit.
  7. Must make up a sign that state “No ATV’S on grassy area or playground for insurance purposes.
  8. Motion to accept the MVP contract of $750 to do the Accounts Payables for SCCC.  1st Andrew, 2nd Jeanne – Motion Accepted
  9. Andrew passed a copy of the following to every member:

·          Co-Op Association Regulations

·          Co-Op Association Act

  1. It was confirmed that there will not be a conflict of interest to have Walter Rawlinson on the SCCC board of directors – Walter will leave the meeting if/when the facility contract is discussed as long as his wife (Charlotte Rawlinson) is the facility manager.
  2. It was determined that a member of the SCCC board can be resident and does not necessarily have to be an owner.
  3. New board member positions as follows:

  4. Purchase cover for hot tub – cost of $380.00 and a winter cover for the pool, $90.00

This years New Years Dance will be on Monday, December 31 at 8pm. There will be Champange at midnight and light food provided throughout the evening. Facility Update

Our summer hung on for another few weeks but the cool crisp air of fall has blown in. Our pool is closed for the season and we hope everyone enjoyed the season. The Hot Tub remains open and we are working on panting the floor in the games room. Please feel free to let us know the next improvments you would like to see.

POOL REMAINS OPEN!

Due to the terrific weather we have been having, the pool will remain open as long as possible. The hot tub has a new heater installed and is re-opened as well. The pool is open from 12:00 noon to 7:00 pm daily and the hot tub and rec center are open 12:00 noon to 8:00 pm daily. All facilities are closed on Wed for maintenance.

Charlotte Rawlinson began has the new Facility Manager on September 1st and still has the assistance of Robyn Hobbs for the pool and hot tub.

Bob Hughes has acceptance a position out of the country and the role of SCCC President will be filled by our vice president Scott Clark until the AGM.

SUNSHINE COMMUNITY CO-OPERATIVE CLUB 

SUMMER NEWSLETTER

 We have made it through the winter and a very cold and rainy spring, but summer is on its way.  The Board of Directors have been busy planning the summer events and also dealing with the Court Case.  It is officially all done and we look forward to getting back to the social and recreational function of the Club.  Details of the Court Case will be available on the Web-site: sunshinevalley.ca after we receive the final court documents.

This spring we needed major repairs done to the pool.  The Health Inspector wanted the work done for opening this year and now that the rainy season is over – hopefully – the pool is being sandblasted and painted.  The hot tub facilities have all been repainted and the floors have been cleaned, resurfaced and sealed.  There was no cost, this year, for this to be done as we had the material left over from last year.  The Sandblasting Company from Surrey that did our pool commented on what great shape our pool is in and it is very well maintained.  We should have no problems in the near future.

The Board of Directors would like to thank everyone for the continued support and we look forward to a great summer.

SUNSHINE COMMUNITY CO-OPERATIVE CLUB LOT OWNER

The Board of Directors wants to thank all members that keep their dues paid up to date.  We have a couple of hard years financially due to the Court Case and we are glad it is finally over. The Board is excited that we can finally use the dues for other things, such as repairs, improvements and maintenance. It is hard to set a Proposed Budget to the membership when we have been so tied financially.  SCCC is yours and everyone’s.  Every lot owner in the Valley that pays his or her dues owns it.

Dues are our main source of support.  There is a small amount generated by hall rental.  There are approximately 346 lot owners who are SCCC members. Currently, there are 79 of those 346 who are from 6 months to over 2 years behind in their fees.  With the $69,715.66 owed to the Club, so much could be accomplished.  The people who complained, and every other lot owner and member would be totally satisfied, our recreation facilities and 3 1/2 half acres would be more modernized, energy efficient and more visibly appealing if we would receive these monies.

The Board of Directors is a volunteer, every Board member is unpaid.  The Board looks after recreation facilities and functions.  There are members on the Board who help out with repairs to the heating and electrical system, some who also help out by bringing and setting up all necessary items for social events, some also purchase food, set up and cook items to be sold with funds going back into the SCCC.  There are members on our board who provide gifts, prizes and give-away items for our social events to make these events more entertaining and memorable.  There is a member of our Board who is kind enough to bring and set up equipment and then play his music to entertain all of us during a social event.  Another member of the Board donates time bookkeeping for the SCCC, no small feat.  The improvements in the swimming pool building, the hot tub room and change rooms were made possible through efforts by a SCCC Board member and a volunteer SCCC member.  Some of our SCCC Community members have responded to the request for playground improvements.  We, and all the other members, are thankful for that effort to our children, families and community.  The SCCC hires a company to send out our statements and our Facility Manager is under paid contract.  These are the only paid positions.

You can imagine that it is disheartening after having donated our time and best intentions for everyone in the SCCC to receive letters saying that the $26.00, per month per lot owner, should provide more than what is offered i.e.: golf courses, new swimming pool buildings, fancy tennis courts, when so many are not paying or offering to help.

Efforts will be made to pursue and retrieve dues owed to us by members in financial arrears. 

Any suggestions and offers of volunteer help would be appreciated.  There is an old saying that you get as much out of life as you put in.  The SCCC community is your community.

EXTRA-ORDINARY MEMEBERS MEETING   MINUTES

SATURDAY, MAY 19TH 2007  -  RECREATION CENTRE

 

1.         Meeting called to order 10:35 a.m.

2.         Verification of Quorum by Secretary  ( 56 voting members)

3.         Motion made to approve notice of meeting.  MSC

4.         Approval of Agenda. MSC

5.         Introduction of Board.

6.         Review Council.

            a) Resolution from the Agenda was read as follows "Motion made that the Sunshine Valley Community Co-Operative Club being a Recreation and Social Facility governed by the Co-Operative Act hereby withdraws all connection of the Review Council and its function.

            b) Resolution was seconded

            c) Discussion was held and the resolution was amended to read " Motion made that the Sunshine Valley Community Co-Operative Club being a Recreation and Social Facility governed by the Co-Operative Act hereby transfers all connection of the Review Council and its function to a New Review Council while retaining 1 SCCC seat and vote on the New Council."

            d) Vote was held on amended Resolution. 51 Yes  - 4 Opposed  MSC.

7.         Secretary Robyn Hobbs gave a report on the Share Certificates.  After holding discussions with the Co-Operative Board in Victoria, and receiving all the registered paperwork that the SCCC has filed under the Co-Operative Act the share certificates that are registered, are not being done legally as to the regulations of the Co-Operative Act .  There are many issues surrounding the Shares and Rick Gagnon will be working with Robyn Hobbs on this area. Report will be given to the Community.

8.         Report on Court Case.  President Bob Hughes gave an update, The Court Case is not final yet, and there is a date set for June 7/07 by the Court to finish the Court Case.  The membership will be informed when all is done.

9.         Treasurer Iona Hughes brought all the financial books, mortgage papers, Insurance papers, registration paperwork, for the membership to look at.

10.       Robyn Hobbs, Facility Manager gave an update on hot tub and pool. As the meeting was taking place Mark Williams was installing two new windows in the Hot Tub Room and the system will be given a final check and the Health Inspector will be in to inspect and passed for opening. The Board wished to thank Mark Williams as he did not invoice the Club for the installation of the windows - thank-you The Pool will be sandblasted and repainted this year, as required by the Health Department.  Work will begin soon.

11.       Report on Outstanding Members Dues. A letter will be mailed out with the June Invoicing from Meyers, Norris and Penny.

We had a very successful Easter Egg Hunt this year,  the weather was great and there were approx 100 people that took part in the Easter Egg Hunt, colouring contest, games and BBQ.  Thanks to everyone that helped and for the donations of the chocolate for the kids.

PRESIDENT'S NOTES

 

We have experienced a snowy, busy winter this year and all of us are looking forward to a fun, sunny and busy spring and summer.  We were able to offer our facilities as refuge to a number of people who needed help during a road wash out.  The Emergency Measures Group in the Valley kindly gave us a donation to help with the heating which was much appreciated.

 

Valentine Dance was held Sat. Feb 17th with a 1950/60 theme. We had a good turn out considering the snow, and Neil & Gail VanBemmelen took home the prize for best 50's outfit, we had spot dance prizes and Peter got a hoola-hoop contest going.  Many thanks to our volunteers and directors, who as usual, came through to make this a success.

 

The facilities were rented to the Regional District, on March 10th for a Village meeting sponsored by the Fraser Valley Regional District, which was very well attended. We understand that minutes will be provided.

 

Your Board of Directors are working on plans for activities and would welcome volunteers who would like to help. We need someone from each of the following villages to join the Board; Meadow, Cedar and Alpine .  If you are interested in serving, please email your intentions to robert_hughes@shaw.ca.  The Board meets once per month, usually 10:00 AM Saturday.

NEWS

 

INSURANCE:

 

After a meeting with our Insurance company representative, we have been informed of the following:

"Advise those who have not paid membership fees they are NOT protected by the Club's liability insurance policy"

Also, we were advised that ATVs can only travel on designated roads while on SCCC property, not on playing fields.  This applies to the 3 1/2 acres which the Sunshine Community Co-operative Club owns.  Signs will be posted shortly.

 

FACILITY MANAGER CONTRACT

 

The current contract will come to an end as at August 31, 2007 and we will be accepting tenders from qualified persons who would be interested in taking on the responsibility.   We will have copies of the duties available upon receipt of list of credentials, experience, remuneration expected.  The Manager will need WCB as well as liability insurance coverage.  You should send your application to SCCC, Board of Directors, c/o 10016 Dublin Dr. Chilliwack, B.C., V2P 6K7.  The cut off date for applications is June 15th 2007, and training will be set for the month of August.  This will give time for the applicant to work while the facilities are open on a daily basis and will experience the shut down and winterization which takes place in Sept.  The Board of Directors will interview applicants.

Several notes received from lot owners lately indicate a belief that SCCC may be a business run to make a profit.  This is not true.  This would be great if true.  SCCC is yours and everyone’s.  It is owned by every lot owner in the Valley that pays their dues.

     a) Facility Manager - We need a new vacuum for the Library. Also it is time to start thinking of the maintenance work needed for the pool/ hot tub/ and rec. facilities to open for the summer. Will start looking into estimates to have the pool sandblasted and refinished.  Bob and Barry will install heater in the ladies room in the hot tub area.  Also we need to address of issue of looking into repairing the lawn mower, or replacing it completely with a new riding lawn mower.

5. Barry Huggins gave us an updated report on our Insurance Policy and what it covers for the SCCC.  A report will be posted in the next newsletter.

SUNSHINE VALLEY COMMUNITY CO-OPERATIVE CLUB

BOARD OF DIRECTORS MEETING  - JANUARY 6TH 2007

RECREATION CENTRE  -  10:00 A.M.

DIRECTORS PRESENT:

President Bob Hughes, Vice-President Scott Clark, Secretary Robyn Hobbs, Directors Don Third, Barry Huggins, Patrick Noel, Doug Cavanaugh, Rick Gagnon, Attending Treasurer Iona Hughes,  Absent Bridgette Secker, Peter Adamo           

1.          Meeting called to order at 10:10 a.m.

2.          Verification of Quorum

3.         Report on Christmas and New Years Functions.  We had a good party for the children. There were approx 25 children present . New Years was a great time with approx 90 in attendance. Thanks to all who volunteered their time. Valentines Party is planned for Feb.17th at 8:00 p.m.and is a Family Event.

4.         The new electric heaters that were installed before Christmas by Bob have been working great, and are much more efficient and have reduce our propane bill already.  We have had many comments on how warm the conference is now. Thanks Bob for your time and effort again.  The Club has purchase a TV and DVD player that will be installed in the Conference Room, also the music centre will be moved to the corner this will increase space at the front for more tables.

5.         Treasurers report.  Motion to accept. MSC.

6.         Scott Clark will be addressing the removal of the bottle returns that the Fire Dept. is storing in the General Storage of the back barn.

7.         Barry Huggins gave a report on our Insurance, and what it covers for the Club.

8.         Barry Huggins and Robyn Hobbs will be working on a new Function Sheet for rental of the Club and will present it for consideration at next Board Meeting.

9.         Patrick Noel will be looking in funding by the Federal Government on having telus high speed  and will present findings to the Board.

10.       Discussion was held on SCCC members that have not paid their dues. Patrick Noel read a draft letter to be sent out to delinquent club members.

11.       Rick Gagnon read correspondence, from Doug Adolph and Gayle Owens. Robyn will be looking into information regarding both issues, and will be reporting back at next meeting.

12.       Rick Gagnon put forth that the Club host a Spring Open House and BBQ. The Board will start planning for this event.

13.       Discussion was held on the Web site.

PRESIDENTS NOTES

Seasons Greetings all.  We have come through another year and looking forward to this coming year.  We want to thank our outgoing President Peter Adamo for his leadership in the last two years.  He is staying on the Board as a Director for Alpine.  The New board consists of some returning Directors as well as new faces.  I have a good feeling that we have a positive group who are ready, willing and able to get working on some exciting new as well as old projects.  We look forward to volunteers from our member ship helping as well.  We will be keeping in touch via newsletters and the SCCC Web site

Lets make this the best year ever for the SCCC and the Valley.

December 16th - Childrens Christmas Party

Rec Centre - 1:30 - 4:30 p.m.

The Childrens Christmas Party is open to all children in the community.

We ask that all parents provide a gift labelled with their childs name and a gift limited up to $15.00 to put into Santas bag.   Please contact Robyn at (604) 860- 4369 and let her know how many children from the family will be attending so the SCCC has enough goodie bags and food by Dec 13th.

December 31st - New Years Gala

Rec Centre - 8:30 p.m.    This is an Adult Party only * Midnight buffet * BYOB *

Tickets will be sold,and will be by reservation only as we have limited seating, so hurry *  Tickets are  Members  $5.00  -  Guests $10.00

The Sccc is planning events and can always use volunteers, please if you can help let us know, also if there are any ideas or events that you would like to see happen please forward your ideas to the board.

Events that are being planned:

* Winter Family Bowling Night in Hope  

* Friday night games night in the Rec Centre,  cards, darts, board games, ping pong, etc and maybe a Ballroom Dance Lesson.

* Valentines Dance  Feb. 17th

All events planned will be posted on the Sunshine Valley.ca website and on events board at the entrance of Sunshine Valley.

The Recreational Facilities are available to rent

4. Motion to Approve Minutes of Oct. 18th, 2006. MSC.

5. Walter Rawlinson resigned from the Board, but will still do the Sunshine Valley Web-site.

6. New Signing Authority. Motion to leave signing authority for the club as Iona Hughes and Peter Adamo. MSC.

7. Facility Manager Report: Summer Season went very well, and there were no incidents of vandalism. The winter hours are in affect for the hot tub. We need to replace the toilet in the men's washroom and new heating for the ladies area of the hot tub and heating for the Rec Centre washrooms. Bob Hughes will address the heating issues. Robyn will handle the rental of the facilities using the new rental forms.

8. Treasurers Report: See attached financial sheets. Motion to accept financial statements MSC.

9. Newsletter. The Newsletter will be going out with the Nov/Dec billing. The Board will all have input in the newsletter before it goes out.

10. Discussion was held on having people be able to pay their Rec Dues by automatic withdrawal on a monthly basis. Iona Hughes and Peter Adamo to go to Envision Credit Union and look into this.

11. Discussion was held on putting a welcome package together to be given to all new owners in the Valley and include for ex: List of Board of Directors, Rec Centre Hours and Activities, information on Tags, newsletter, etc. The Board will also like to look at the package that the real estate passes out.

12. Robyn will write up Contract between the Club and Shayne Ralston, snow clearing contractor. Snow Clearing will not cost us this year, as an agreement was arranged that Mr. Ralston will clear our snow at no charge in exchange for some storage in our barn.

13. Secretary Robyn Hobbs, will look after calling Emil Anderson for sanding for the parking lot of the Rec Centre.

14. Discussion on the Christmas Party Dec 16th, will be open to all the children in the Valley. All information will be posted on Website and the newsletter for the Children's Christmas Party and Adults only New Years Gala.

15. Board has plans to put together more activities this year, including a Friday Games Night.

16. Rental Prices were set for the Library and Conference Hall. See Attached

17. All Directors are asked to come up with ideas to create a new mission statement that reflects the valley and what the Club stands for as a social club.

18. Letter to be sent to Don Low asking to see the Review Councils list of Directors.

19. Discussion on correspondence submitted to the SCCC Board from Don Low on Village Status for Sunshine Valley. Motion to send Don Low a letter thanking him for his time and contribution on the committee for Village Status, however based on the information and the meetings that were held by the FVRD and Alan Ferguson, the Committee no longer exists at this time. 20. Letter re: outstanding dues deferred to next meeting.
